Each Remote Online Notarization (RON) is subject to an initiation and set-up fee of $25. This fee includes the acceptance of the document requiring notarization(s), converting a document to a platform acceptable PDF format, if required, and inserting fillable form fields and signature tags where needed for identity and/or certification purposes. Requests for modification of documents more than 24 hours after acceptance will incur an additional $15 modification fee.
Each RON Notary Seal can be charged up to the Washington state maximum fee of $25. INDELIBLE NOTARY SERVICES will charge this fee for the first 5 notary seals. Successive seals will be charged at $15 each. WA state allows that a RON notarized document can be used with an Apostille request. When INDELIBLE NOTARY SERVICES is used for both, the RON notarization will be charged at half of its stand-alone rate and included as a wrap-around Apostille service.
Initiation of a RON certification transaction will incur a pre-paid cost of $75 (US clients only). Any transaction involving one or more *foreign participants will incur a pre-paid cost of $100. These costs are inclusive of the set up fee and the first two notary seals (whether or not both seals are used). All RON transactions will occur over an encrypted virtual room meeting associated with the SignIX platform (in this instance ZOOM). These meetings can only take place with a SignIX meeting invitation link which will be provided to you once your RON notary request has been accepted and initiated.
RON ZOOM meetings can be canceled and rescheduled up to two hours before the scheduled meeting time with no penalty. Any request by the client for reschedule inside of that two-hour window will incur a 50% default fee. Once a transaction goes live (host has signed in and ZOOM meeting began) there is a 15-minute reservation hold. After 15 minutes if the requesting party is a no show the meeting will be canceled with forfeiture of the full cost. Funds are non-refundable if the signing is incomplete due to any reason associated with the signer (i.e. did not pass identity or KBA authentication). Any RON meeting that needs to be canceled and/or rescheduled due to host unavailability or system malfunction will be reimbursed 100%.
REMOTE ONLINE NOTARIZATION (RON) – WA state passed legislation allowing for notaries with an electronic endorsement and remote online notary endorsement to perform notarizations remotely in a secure, encrypted virtual meeting room. RON activity by a WA state certified notary can occur within state and across all 50 states in the union. Both parties need to use electronic equipment (computer or laptop) with audio and video capabilities to communicate with one another face-to-face online using a state approved platform. INDELIBLE NOTARY SERVICES is approved and has active credentials with SignIX (primary independent platform over ZOOM), and DocVerify through NexSys/ClearSign, AMROCK and PAVASO. WA state requires that these virtual meeting signing ceremonies be recorded and archived for 10 years. User identity is recorded during the session in a virtual notary journal through government issued identity and knowledge based authentication which are also archived.
KNOWLEDGE BASED AUTHENTICATION (KBA) – Dynamic knowledge based authentication is widely used across industries as a way to provide a deeper, two-step identity mechanism. Usually this involves a set of questions the combination of which the signer will know and be able to answer correctly to further authenticate their identity. Failing to accurately provide the correct answer/information from a series of options in the set may result in a fail and lock out of the system in this first step identification. In such an instance you will be unable to proceed further with the RON process. The host may be able to suspend the transaction and initiate another identifying option. Alternatively, the signer can retry passing the identity and KBA session in another 24 hours. If the signer fails the second KBA the active transaction will be canceled. Another transaction can be initiated. However, in all instances, the set and series of questions will usually not be the same as those previously presented to you for KBA.
KBA will only be required for your first use of the INDELIBLE NOTARY SERVICES RON SignIX system. Subsequent use for other notary transactions will register you as a known client and you may only be asked to present your government issued ID (identity card, driver’s license or passport) in the event your contact information may be different from prior visits.
CREDIBLE WITNESSES -- On occasion someone needing a notarized document will not have the identifying credentials necessary to engage in RON. As with regular notarization the requestor can provide a witness known to them who is willing to stand for the requestor to attest to their identity. If the credible witness is unknown to the notary, they will need to have two such witnesses vouch for their identity. Credible witnesses will go through the same identity and KBA process as the requestor and are subject to the same conditions and consequences as the requesting signer. A foreign signer without US issued and accepted credentials will always require two credible witnesses.
*RON certifications require US government identification documents for participation in this platform activity. INDELIBLE NOTARY SERVICES is only accepting requests from US born, naturalized citizens or green card holders with proper credentials. However, we do recognize that there will on occasion be transactions involving participants in or from other countries. These members must have US recognized and acceptable forms of identity or provide a Credible Witness who has and is willing to present these documents for verification on their behalf.
